Special Assistant - Gryphon Partners - Arlington, VA






Gryphon Partners (“GP”) seeks a Special Assistant to assist its President, Dr. Zalmay Khalilzad, and other GP staff with their demanding and fast-paced endeavors. The Special Assistant will be an integral member of the Gryphon Partners team.


Expected start date for this position will be mid-to-late July.

Job Description :


  • Making frequent,complex business & personal domestic/international travel arrangements, often on very short notice, including after-hours and weekends for the President, his family and GP staff, contractors, and others as needed;

  • Managing the President’s demanding schedule/calendar (which will require judgment on prioritizing engagements) – including scheduling personal/social commitments.

  • Receiving and screening telephone calls, including occasional press and public speaking inquiries, and referring callers to other staff, as appropriate;

  • Managing President’s office documentation, including records related to client accounts, business contacts, vendors, personnel files, President’s personal files and accounts, etc.;

  • Coordinating with Accounts Manager on expenses, especially travel related, company reimbursements, and budgets;

  • Interfacing with clients and high profile business associates to schedule meetings, conferences, business gatherings, and coordinate travel arrangements;

  • Managing social media and online presence of President and GP; including Twitter, Instagram, Facebook, etc.

  • Drafting routine correspondence on behalf of President and emails sent to GP list serve

  • Ordering office and shipping supplies;

  • Greeting high-level guests from different cultural backgrounds; and

  • Completing other miscellaneous tasks assigned by the President or senior staff.

Qualifications :


  • Ability to communicate fluently (orally and in writing) in English;

  • Ability to solve problems independently;

  • Ability to work well under pressure and deal with complex situations and changing schedules;

  • Available to work flexible hours and be accessible outside of normal business hours including weekends;

  • Ability to multitask and to carefully follow directions with precise attention to detail;

  • Familiarity with booking international travel;

  • Excellent writing and communication skills;

  • Proficiency in the use of Windows and Microsoft programs;

  • Familiarity with Middle Eastern culture and norms preferred;

  • Familiarity with social media platforms, MailChimp, and WordPress preferred;

  • BA/BS degree or equivalent required.
