Staff Assistant III (Research and Administrative Assistant) - Harvard University - Boston, MA

The Harvard Opinion Research Program (HORP) at the Harvard T. H. Chan School of Public Health (HCS) seeks a research and administrative assistant that will


A. Prepare reports and other dissemination materials such as academic manuscripts derived from the data collected from a series of ongoing research projects that combine rigorous survey research and polling experience from HORP to support UNICEF and the Ministries of Health in Nigeria, Afghanistan, Pakistan, India, Somalia, and the Democratic Republic of Congo in regards to childhood vaccination and polio eradication efforts. The same will be needed for other projects related to public health, including those working with domestic public health agencies.


B. Perform administrative and office support activities for project for Deputy Director of HORP. Duties include reporting, timekeeping of ongoing projects, fielding telephone calls, word processing, filing, keeping track of the Deputy Director’s agenda, taking notes during meetings with government officials and field teams in projects, preparing materials for meetings and other general administrative tasks explained in detail below.


C. Research


• Draft reports (in Power Point)

• Draft memorandums of main findings

• Work closely with Deputy Director in creating reports

• Conduct preliminary research and compile a comprehensive list of references for articles and other publications

• Prepare tables for manuscripts and other publications

• Proofread and edit academic manuscripts

• Improve the creation and management of Power Point and other types of reports

• Maintain procedures manual to ensure consistent performance of routines, especially in reporting


D. Administrative Support (Communications, Appointments & Time keeping)


• Update and track delegated tasks to help Deputy Director ensure progress to deadlines

• Keep track of Deputy’s calendar and help schedule Deputy’s appointments/meetings

• Keep track of all projects deadlines and remind the Deputy Director where things are at once a week

• Arrange “callbacks” to protect Deputy’s time

• Provide back-up materials for callbacks when needed

• Conduct phone surveys/inquiries as needed

•Prepare Deputy’s agenda in advance

• Arrange meeting facilities when needed

• Act as recording secretary; prepare action minutes

• Compose correspondence/reports for own or Deputy Director’s signature

• Check deadlines on incoming requests and put preliminary work in play

• Process replies on own initiative or from dictation from Deputy Director’s notes

• Arrange travel through internal or outside agents, prepare itinerary, trip file and supplies

• Prepare expense report tools for Deputy Director and complete expense reports after trip

• Routinely re-order department supplies

Basic Qualifications

3+ years of related experience; combination of education and experience will be considered.


Additional Qualifications

College graduates from all fields and majors are encouraged to apply so long as are interested in and have some relevant background (coursework or work experience) in Survey Research, Public Opinion, Public Health, International Development and Social Policy.

Political Science majors with some quantitative skills and an interest in international development are strongly encouraged to apply as are those with experience working as assistants of policy makers or international bureaucrats.

Overall proficiency in Microsoft Office and strong Power Point skills are required for this job as roughly 50% of the time will be spent preparing these reports using this program.

Strong written communication skills and Internet research abilities.

Familiarity with survey research is a not required but is a plus.

Excellent organizational and communication skills. Attention to detail is important since the job requires dealing with sensitive communications and large datasets.
