Travel Coordinator
REPORT TO: HR Manager
The HR Travel Coordinator is responsible for receiving travel requests from different PAE task orders and processing with PAE’s travel partner. This position plans itinerary and schedules travel accommodations for personnel per the SOW for the site’s task order and travel orders using knowledge of routes, types of carriers and travel regulations. The duties and responsibilities listed below are representative of the nature and level of work assigned and are not necessarily all inclusive.
DUTIES:
Coordinate and communicate travel needs with PAE travel in Dubai and/or Corporate on a regular basis
Serve as primary contact point for both PAE projects and PAE’s travel provider
Study routes and regulations and considers costs, availability and convenience of different types of carriers to select the most advantageous route and carrier
Assist personnel in completing travel forms and other business transactions pertaining to travel
Assist the employee with gather necessary documents for reimbursement
Deliver related documents and travel orders to personnel prior to departure
Arrange for ground transportation for arriving or departing personnel
After training on PAE policy and procedure, must be able to review requests for compliance, and work with project personnel to correct when necessary
Use combination of online booking tools, email requests, and phone communications to initiate and resolve travel requests, exceptions, and issues
Arrange for ground transportation for arriving or departing personnel
Assist with visa and work permits for our employees
Assist with drafting FURs for TDY personnel
Assist with welcoming and in-processing our new arrivals to include room preparations, meal cards, and ID badges
Assist with other duties to include new hire orientation, auditing files and document preparation
Other duties as assigned
QUALIFICATIONS:
Two (2) years of experience in a travel coordination, reservation management, hotel service industry role or office setting
Two (2) years of experience in a position that required high volume multi-tasking and/or coordination of tasks.
One (1) year experience working with people from other countries preferred
Strong records management both manual and electronic
Experience with electronic reservations and records management
Able to read, collate, and organize complex travel documents and supporting material
Ability to respond to questions from employees at all levels
REQUIRED:
Education : A high school diploma or equivalent. Bachelor’s Degree or equivalent combination of education and experience preferred
Security Vetting: Must successfully obtain a MRPT Security Clearance. Must maintain eligibility at the required security level for the duration of the contract
Medical: The candidate must pass medical and drug screen
Language Skills : Must be able to communicate effectively in English – both orally and in writing – with all levels of employees
Citizenship : US citizenship not required
